Refund and cancellation policy

1. About this policy

This Refund and Cancellation Policy ("Policy") tells you how to cancel your MEPCalc subscription and when you're entitled to a refund. It forms part of our Terms of Service and applies to all paid plans on MEPCalc.

MEPCalc is a software-as-a-service product designed for qualified MEP engineering professionals. Most of our customers buy on behalf of a business, firm, or partnership and are not consumers under UK or EU law. Where you do qualify as a consumer, your statutory rights (which we describe in section 8) override anything else in this Policy.

2. How to cancel

You can cancel your subscription at any time. There are two ways:

  1. Self-serve via your account.Open the billing settings in your MEPCalc account and click "Cancel subscription." This routes through our payment processor (Stripe) and takes effect at the end of your current billing period.
  2. By email. Send a cancellation request from your account email address to support@mepcalc.com stating which subscription you want to cancel. We'll confirm by reply within one business day.

When you cancel, you keep access to the Service until the end of the period you've already paid for. We don't retain or charge any cancellation fee.

3. New subscription money-back guarantee

We offer a money-back guarantee on new subscriptions to give you confidence to try MEPCalc:

To claim the guarantee, email support@mepcalc.comwithin the relevant window with the words "refund request" in the subject line. We'll process the refund through your original payment method within 5–10 business days. We ask (but don't require) that you tell us briefly why MEPCalc didn't work for you, so we can improve.

The money-back guarantee is voluntary and goes beyond what UK consumer law requires for B2B customers. We offer it because we believe MEPCalc earns its place in your toolkit on its merits, not by lock-in.

4. Cancellation outside the money-back window

After the money-back window, the standard SaaS rule applies:

This is industry-standard for SaaS subscriptions and reflects the fact that the Service has been available to you, whether or not you used it in any given month.

5. Plan changes (upgrade, downgrade, switch)

5.1 Upgrades

When you upgrade to a higher-priced plan mid-period, we charge the price difference, pro-rated to the remaining period, and the upgrade takes effect immediately.

5.2 Downgrades

When you downgrade to a lower-priced plan, the change takes effect at the start of your next billing period. We don't refund the price difference for the remainder of the current period; instead, you continue to receive the higher-tier features until the period ends, then drop to the new plan.

5.3 Switching from annual to monthly

If you wish to switch from an annual to a monthly plan mid-term, the change takes effect at the end of your current annual period. The annual fee already paid is not refunded pro-rata, but you continue to enjoy the full annual term.

5.4 Credits

Where pro-rated value applies (in our discretion, e.g. following an extended outage or service issue), we may issue account credits rather than cash refunds. Credits apply to future MEPCalc fees, are non-transferable, and have no cash redemption value.

6. Refunds for service unavailability

We do not offer a formal Service Level Agreement (SLA) on standard plans, so we don't pay automatic credits for short outages. However, if the Service is materially unavailable for an extended period (which we'd generally consider to mean more than 24 consecutive hours), email support@mepcalc.comand we'll consider a fair credit or pro-rated refund on a case-by-case basis.

Time during which the Service is unavailable due to scheduled maintenance, third-party outages (Vercel, Stripe, etc.), internet service provider failures, denial-of-service attacks, or events outside our reasonable control does not count toward such a credit.

7. Refund for material breach by us

If we materially breach our Terms of Service and fail to remedy the breach within 30 days of you notifying us in writing, you may terminate your subscription immediately and we will refund you the pro-rated unused portion of any subscription fees you have prepaid.

8. Statutory consumer rights

Some users may qualify as consumers under UK or EU law (i.e. individuals using the Service for purposes wholly or mainly outside their trade, business, craft, or profession). MEPCalc is intended for business and professional use, so this is unusual, but where it does apply:

8.1 14-day right to cancel (Consumer Contracts Regulations 2013)

UK and EU consumers have a statutory 14-day right to cancel new contracts entered into online without giving reason. This right runs from the day after you subscribe.

However, by starting to use the Service within the 14-day period, you accept that you waive that statutory cancellation right for the portion of the Service that has already been supplied to you, in line with regulation 36(3) of the 2013 Regulations. Where you have not yet started to use the Service, a full refund is available within 14 days.

8.2 UK Subscription Contracts Regulations

For consumers (not business customers), the UK Subscription Contracts Regulations introduced additional rights including a 14-day cooling-off period after a free trial automatically converts to a paid subscription, and a 14-day cooling-off period after a 12-month-or-longer subscription auto-renews. Where these apply to you, contact support@mepcalc.comwithin the relevant window and we'll process your cancellation and any refund due.

8.3 Consumer Rights Act 2015

The Consumer Rights Act 2015 gives consumers rights in relation to digital content that's faulty or not as described. We'll honour those rights without requiring you to point to this Policy.

9. Free tier, trials, and the waitlist

If you haven't paid us anything (because you're on the waitlist, on a free trial, or using a free tier), there is no refund concept and nothing to cancel beyond simply stopping use. You can email privacy@mepcalc.com if you want us to delete your account and any associated data.

Where a free trial converts automatically to a paid subscription, we'll send you a reminder email at least 7 days before the conversion happens, so you have time to cancel if you no longer want it.

10. Chargebacks and disputes

If you're unhappy with a charge, please email billing@mepcalc.com before raising a chargeback with your card issuer. We'd much rather resolve a billing concern with a refund or credit than have it escalate into a dispute, and we typically resolve issues within one business day.

Initiating a chargeback without first contacting us may result in suspension of your account pending resolution. If a chargeback is found to be invalid (because the underlying subscription was correctly billed and provided), we reserve the right to recover from you the chargeback fees imposed by our payment processor.

11. Refund processing

Approved refunds are returned to the original payment method (Stripe) and typically appear in your account within 5–10 business days, depending on your card issuer or bank. We can't reroute a refund to a different payment method or a different person.

If you don't see the refund within 10 business days, first check with your bank. If they confirm no payment is inbound, contact billing@mepcalc.com and we'll investigate with Stripe.

Refunds are issued in the original currency of payment. We don't cover any FX losses or fees that your bank may charge.

12. Account data after cancellation

When your subscription ends (whether by cancellation or termination), your access to the Service stops and we may delete or anonymise your data. Before that happens, we will make your project data available for export in a structured, machine-readable format for at least 60 days after termination, in line with our Terms of Service.

13. Changes to this policy

We may update this Policy from time to time. When we make material changes, we will: (i) bump the version number above; (ii) update the "last updated" date; and (iii) notify existing customers by email at least 30 days before the changes take effect. Non-material changes (clarifications, typo fixes) do not trigger a notification.
